Appointment Scheduling
The online appointment scheduling system has closed. Appointment schedules will be distributed in mid-May, at which time Manual Scheduling will open. Watch your email for the announcement.
Appointment Scheduling is now closed. Manual Scheduling will open on Monday, May 13.
Online Appointment Requests are computer-generated according to the following priority matching order:
1. Mutual International Buyer and U.S. Supplier requests
2. International Buyer requests
3. Mutual Domestic Buyer and U.S. Supplier requests
4. Domestic Buyer requests
5. Up to five (5) U.S. Supplier requests
6. International Journalists
7. Visit USA Committee Members/Commercial Service Delegates
8. Marketing Partners
Use ipw.com to contact the Buyers and U.S. Suppliers with whom you wish to meet at IPW. Be sure they know you are attending and ask them to request an appointment with you. This will dramatically increase the chance of having an appointment pre-scheduled because priority is given to mutual requests.
Over the course of the three show days, there is the potential for a total of 44 U.S. Supplier/Buyer appointments; however, it is possible that one might not receive 44 appointments through the computer-generated matching process. The Manual Scheduling process offers an opportunity to request additional appointments to fill open slots.
Category | # of Requests Allowed to Submit via Online Scheduling | Maximum # of Potential Appointments |
U.S. Suppliers/Exhibitors (Note: number is per booth space, not per registered delegate.) | 50 | 44 |
International Leisure, Meetings & Incentive, and Domestic Buyers | 50 | 44 |
Visit USA and Commercial Service Representatives | 25* | 25* |
International and Domestic Journalists | 25* | 22* |
*Non-Buyer and Journalist delegates have the potential for fewer appointments due to other responsibilities and mandatory activities scheduled during the show days.
Please see below for additional conditions and restrictions pertaining to your particular registration category.
Manual Scheduling will open on Monday, May 13.
Manual Scheduling opens after the computer-generated appointment schedules are distributed. Through the Manual Scheduling System, you can view and print your appointment schedule; request additional appointments with organizations who have similar open appointments; request cancellations; and accept or decline any requests made to you. Please respond promptly to all appointment requests you receive through the Manual Scheduling System so that your fellow participants can make the most of their schedule. If someone sends you an appointment request or cancellation request and you do not respond then you could be blocking an appointment time they could match with another company.
On Monday, June 10, from 8:30 a.m. to 9:30 a.m., and Tuesday, June 11, from 8:30 a.m. to 8:55 a.m., there will be an Open Appointment Scheduling Session in the Marketplace Hall to provide buyers the opportunity to visit U.S. Suppliers in their booths to schedule additional appointments.
U.S. Suppliers are encouraged to be in their booths to meet and or schedule appointments with buyers who may have open time periods.
Open Networking Time has been built into the schedule after lunch Monday through Wednesday to provide attendees with extra time to network in an informal manner, not necessarily in a booth appointment.
Additional Notes or Conditions Pertaining to Specific Registration Categories
Your registration will not be considered valid if you do not submit a minimum of 30 Appointment Requests on or before the Appointment Request deadline (April 22).
As a condition of acceptance of your registration, you must agree to keep your pre-scheduled appointments. The U.S. Travel Association and the U.S. travel industry make a large investment to host you at IPW and in return we ask that you make every effort to honor your pre-scheduled and onsite commitments. Future attendance at IPW will be denied to those International & Domestic Buyers who consistently cancel, "no show" or do not attend their appointments.
Due to the availability of numerous appointment scheduling opportunities such as ipw.com, the Monday morning Appointment Scheduling Session and the onsite Message Centers, refunds are not issued to buyers who do not receive pre-scheduled appointments.
Note: If U.S. Suppliers have opted out of the Domestic Buyer Appointments Option, you will not be able to request appointments with them.
Use ipw.com to research and contact the U.S. Suppliers with whom you wish to meet at IPW. Since mutual requests are top priority, be sure to let them know you are attending so when appointment scheduling opens they will request an appointment with you.
Note: If U.S. Suppliers have opted out of the Meeting and Incentive Buyer Appointments Option, you will not be able to request appointments with them.
Non-Buyers (Visit USA Committee and Commercial Service Representatives) and Journalists have the opportunity to request appointments during the official Business Appointments Sessions with those Exhibitors who have not requested to Opt Out of these Appointments options. Use ipw.com to contact the U.S. Suppliers now with whom you wish to meet at IPW. Be sure they know you are attending and ask them to select the Appointment Option specific to your category and to request an appointment with you. This will dramatically increase the chance of having an appointment pre-scheduled because priority is given to mutual requests.
Note: International and Domestic Journalists are required to attend the Media Marketplace activities on Monday, June 10, and the Press Conferences scheduled on Tuesday morning June 11; therefore no appointments may be scheduled through the appointment scheduling system during these times. The system will only schedule appointments beginning with Appointment 23, which is the first appointment session following the Tuesday lunch.
Note: The Media Marketplace (Monday, June 10) does not require pre-scheduled appointments. If you meet with an exhibitor during the Media Marketplace and have also scheduled an appointment on the tradeshow floor with this same exhibitor for Tuesday, June 11, or Wednesday, June 12, you may not need the additional time. If so, as a courtesy to the exhibitor, please be sure to cancel your appointment so another delegate can have the opportunity to meet with the exhibitor.
Please keep in mind that if you have not paid your 2013 registration in full, you will not receive your booth number confirmation, have access to request appointments, and the Buyers will not be able to request an appointment with you via ipw.com. To determine if you have an outstanding balance, log in and click on the Pay Invoices button.
U.S. Supplier requests that were not scheduled will be listed on Buyers' appointment lists so they are aware of U.S. Supplier's interest in meeting with them and can use this information to determine with whom to schedule additional appointments.
Appointments you requested that could not be scheduled will be listed on your appointment schedule indicating why the appointment could not be made. There will also be a listing of buyers who requested you but could not be scheduled.
U.S. Supplier-only Requests: Up to five U.S. Supplier-only appointment requests per organization may be scheduled without the mutual request of the buyer. Appointments will continue to be scheduled with priority given to mutual requests first, followed by International Buyer, then Domestic Buyer and then U.S. Supplier requests.
Note: Press appointments take place during the official Business Appointment Sessions on the show floor (not during the Media Marketplace, which has no scheduled appointments, and which requires the additional purchase of the Media Package). See note under Non-Buyers and Journalists section above.
