Hotel Accommodations for Hosted Delegates

The IPW Hosted Delegate Housing Bureau coordinates hotel reservations for registered international leisure, meeting and incentive, and domestic buyers; international journalists; and International Advisory Committee Chairs, Visit USA Committee Chairs, and Commercial Service Representatives. Instructions for booking hotel reservations will be emailed to all confirmed registrants.

What is Covered?

U.S. Travel Association pays for lodging at one of IPW's host hotels for Saturday-Wednesday, June 14-18, 2025, with checkout on Thursday, June 19 (room and tax only).

Should you wish to arrive earlier or stay later, you will be responsible for the additional charges, at discounted rates (subject to availability). You are also responsible for any personal charges (telephone, room service, etc.) incurred during your entire stay.

Reservation Deadline and Hotel Assignment

Deadline: May 21, 2025, as space permits.

Hosted delegates will access the the Hosted Delegate Housing Bureau via the My IPW portal to reserve their complimentary hotel accommodations at one of IPW’s host hotels. Delegates will receive a reservation confirmation upon submission

After this date, all delegates are responsible for securing their own accommodations. No adjustments will be made to registration fees.

Deadline: June 6, 2025

Hosted delegates will be notified of their hotel assignment via the My IPW portal.
 

Hosted Hotel Policies

U.S. Travel IPW provides hosted accommodations to eligible attendees under the following conditions:

In order to receive a complimentary hotel reservation, all hosted buyers agree to:

  1. Request and keep a minimum of 25 appointments.
  2. Attend the General Session on Monday, June 16, during the General Session/Networking time.
  3. If a hosted delegate elects to share his/her room with another delegate that does not qualify for hosted housing, U.S. Travel will not pay for that room if only the “sharing” person’s name appears on the final hotel invoice. 
     

In order to receive a complimentary hotel reservation, all hosted media agree to:

  1. Participate and take pre-scheduled appointments during the Media Marketplace on Monday, June 16.
  2. Attend the Press Brunch on Sunday, June 15, and all official Press Conferences scheduled Monday-Wednesday, June 16-18.
  3. If a hosted delegate elects to share his/her room with another delegate that does not qualify for hosted housing, U.S. Travel will not pay for that room if only the “sharing” person’s name appears on the final hotel invoice.
