Important Policies

The information below is applicable to all IPW attendees.

MEDIA RELEASE
By registering for and/or attending IPW, participants understand and agree that they may be photographed, filmed, or videotaped and hereby give U.S. Travel Association and those acting with its permission the right to take pictures and/or recordings of such Participants, and grant the perpetual right to use their name, voice, photograph, portrait, likeness and biographical information (collectively, “Likeness”), without compensation, for broadcast or exhibition in any media now known or hereafter devised and to put the finished pictures/recordings to any lawful use without limitation or reservation.

Participants hereby waive, release, and forever discharge U.S. Travel Association from and against any and all claims or actions arising out of or resulting from any use of their Likeness. Participants who wish to opt out of this waiver must complete the Media Opt-Out Form and bring it and the required photo to the registration desk on-site.
In addition to photography and videography, IPW may use a behavior mapping service to measure traffic and engagement levels. The service employs state-of-the-art technology to convert the physical environment into anonymous numerical data.

These insights will be used to enhance the overall event experience.
No personally identifiable information will be stored or retained in any form.
No attempt will be made to match the data with your identity.

CODE OF CONDUCT
The U.S. Travel Code of Conduct for Events establishes minimum expectations of behavior for individuals attending U.S. Travel Association-sponsored events such that all Participants may feel safe and are treated with respect. The Code is strictly enforced.

ASSUMPTION OF RISK
Participant understands that participating in the U.S. Travel Association’s Event may involve certain inherent risks, including risks associated with travel, large gatherings, use of event facilities, communicable disease, interactivities, food and beverage consumption, transportation, and off-site events. Participant voluntarily assumes the risks inherent in participation and agrees to comply with health and safety protocols applicable to this U.S. Travel Association Event, including health and safety measures required under applicable laws or venue policies, and to maintain appropriate public health practices and hygiene procedures.

LIABILITY WAIVER; RELEASE OF CLAIMS; INDEMNIFICATION
IN CONSIDERATION OF THE OPPORTUNITY TO PARTICIPATE IN THE U.S. TRAVEL ASSOCIATION’S EVENT, PARTICIPANT HEREBY AGREES TO FOREVER RELEASE, COVENANTS NOT TO SUE, AND DISCHARGES, THE U.S. TRAVEL ASSOCIATION, ITS EMPLOYEES, OFFICERS, DIRECTORS, MEMBERS, AGENTS, AND REPRESENTATIVES (COLLECTIVELY, THE “U.S. TRAVEL PARTIES”) FROM ANY AND ALL LIABILITIES, CLAIMS, ACTIONS, DAMAGES, COSTS, OR EXPENSES OF ANY KIND (“CLAIMS”) ARISING OUT OF OR RELATING TO PARTICIPANT’S PARTICIPATION IN THE EVENT, TO THE FULLEST EXTENT PERMITTED BY LAW. PARTICIPANT FURTHER AGREES TO INDEMNIFY, DEFEND (AT U.S. TRAVEL ASSOCIATION’S OPTION) AND HOLD HARMLESS THE U.S. TRAVEL PARTIES FROM AND AGAINST ANY CLAIMS ARISING FROM THE PARTICIPANT’S ACTS OR OMISSIONS IN CONNECTION WITH THE EVENT, INCLUDING PARTICIPANT’S VIOLATION OF THESE TERMS AND CONDITIONS. NOTHING IN THIS SECTION SHALL BE INTERPRETED TO LIMIT ANY RIGHTS OR DEFENSES AVAILABLE TO THE U.S. TRAVEL PARTIES UNDER APPLICABLE LAW.

If the participant is a municipal or other governmental entity that, under applicable law, is prohibited from entering into indemnification or hold harmless obligations, this clause shall be construed and applied only to the extent permitted by such law and shall not operate as a waiver of any sovereign or governmental immunity or other statutory limitation on liability.

Notwithstanding anything to the contrary herein, the forgoing indemnities shall not apply to the extent a Claim is caused by the negligence or willful misconduct of the U.S. Travel Party seeking indemnification.

EMAIL OPT-IN
When you submit personal information to us through the registration process, you will be given an opportunity to opt in at the time of submitting your personal information to the inclusion of your email address on contact lists of our users, which are provided for promotional and marketing communications from us, our sponsors, and other third parties.

If you initially elect not to opt in and later decide that you would like to opt in, you may log into My IPW using your individual login codes to change your selection. Keep in mind, when we do provide mailing lists to third parties, we enter into agreements with such parties limiting use of the lists.

In addition, by allowing an exhibitor or sponsor to scan your badge during the event, you provide express consent for U.S. Travel Association to share your contact information, including your email address, with that specific partner. Please note that the U.S. Travel Association also utilizes badge scanning for session tracking and event logistics; this internal data is used solely for organizational purposes and will not be shared with third parties unless you explicitly opt in during registration or via My IPW.

COMPETING EVENTS; MARKETING
U.S. Travel Association restricts Participants from hosting or participating in competing or conflicting events or activities that occur during official Event hours. Violation of this policy may result in cancellation of their participation without refund, removal from the Event, or prohibition from participating in future events.

All marketing must remain within the contracted space. Marketing materials may not be placed on conference tables or other areas that are not within the boundaries of the sponsorship or booth. U.S. Travel Association reserves the right to remove individuals or discard display materials that do not comply with these guidelines.

RESPONSIBILITY FOR CONTENT
The views expressed by any Participant are not necessarily those of the U.S. Travel Association or our stakeholders. Participants are solely responsible for the content of all individual or company presentations, marketing collateral, and advertising.

MODIFICATION OF TERMS
The U.S. Travel Association reserves the right to change, amend, add, or remove any of the above Terms and Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms and Conditions become invalid, the remaining conditions will continue to be valid and apply.

NON-COMPLIANCE
It is understood and agreed that failure by a Participant to comply with these Terms and Conditions, the Code of Conduct for Events, and all rules and regulations applicable to the Event may result in cancellation of their participation without refund, removal from the Event, or prohibition from participating in future events.
