Affiliate Event Request Application

For approved events, it is the responsibility of the organizer to comply with the guidelines regulated by IPW Show Management. All events/functions are subject to the following Terms and Conditions:

• Priority Given: IPW Show Management requires you to be a registered delegate to host affiliate events during event dates. Few exceptions apply; for inquiries, please contact [email protected].
• Blackout Times: Functions may not be held during official IPW appointment times. Requests during these periods will be automatically denied.
• Approval & Arrangements: Once your event is approved, you will receive confirmation and venue contact details. You are responsible for securing space and coordinating all event logistics directly.
• Cost Responsibility: All event-related costs (venue rental, catering, AV, etc.) are the sole responsibility of the requestor.
• No Direct Venue Contracting: Companies may not contract event space directly with official IPW hotels or venues. Groups found doing so without prior permission from IPW Show Management risk losing the ability to attend future IPW events.
• Right to Refuse: IPW reserves the right to approve or deny any request at its sole discretion. All outstanding obligations to U.S. Travel or official IPW vendors must be resolved before event approval is granted.
• No Guarantee of Space: Approval of this form does not guarantee space at a specific hotel or venue. Availability is limited and subject to hotel/venue discretion. Changes to an approved request must be resubmitted for approval.
• Indemnification: The requestor agrees to protect, indemnify, and hold harmless U.S. Travel Association, IPW, and their affiliates from all claims, losses, or damages arising from negligence or willful misconduct. Additional indemnification may be required by the venue.
• IPW reserves the right to interpret, amend, or enforce these rules at its sole discretion. All decisions are final. All attendees also agree to the IPW event terms and conditions.
