Welcome to your virtual exhibitor services kit! Here you will find all the resources you need to successfully manage your booth preparations including: Marketing and Technology Pavilion (MTP) rules and regulations, links to the interactive floor plan and Freeman Online, shipping labels and other downloadable order forms, etc.
To ensure a successful IPW, all Marketing and Technology Providers should carefully review the MTP Rules and Regulations.
Booth Location
Positioned in a high traffic area on the show floor, the Marketing and Technology Pavilion (MTP) 10’x10’ booth package* includes:
- 8' drape backing
- black carpet
- two chairs
- one 4' table
- one wastebasket
- pole ID sign
*Options to upgrade furniture or customize booth back drop available through Freeman Online (at exhibitors cost)
Interactive Floor Plan
IPW's interactive floor plan allows viewers to zoom, pan the map, view exhibitor information, search for exhibitors, etc.
Once posted, the interactive floor plan will be updated once a week to include new exhibitors or booth changes. Even though a booth may appear to be available on the floor plan it is possible that it has been assigned but not updated online yet.
Official Contractor
Freeman is the official show contractor for IPW.
The MTP booth is a turnkey solution for marketing and technology providers. Freeman produces each booth and delivers and sets up the complimentary furniture package. MTP exhibitors may bring or order small pop-up displays (that do not exceed 8'x10’), computer monitors, floral or other decor items at their own expense.
MTP exhibitors can access their booths on Saturday and Sunday, May 20-21, between 8:00 a.m.-5:00 p.m. if they wish to set up any additional displays or decor items.
Installation and Dismantling
Currently Freeman has an agreement with local labor for display installation and dismantling. Full time employees of the exhibiting companies, however, may set their own exhibits without assistance from this local. Any labor services that may be required beyond what your regular full time employees can provide, may be rendered by the local. Labor can be ordered in advance via Freeman Online or at the on-site service desk.
Material Handling
Exhibitors may hand-carry their own materials into the exhibit facility. The use or rental of dollies, flat trucks and other mechanical equipment, however, is not permitted. Freeman will control access to the loading docks in order to provide for a safe and orderly move-in/out. Only full time employees of the exhibiting company will be allowed to hand-carry items. Unloading or reloading at the dock of any and all contracted carriers will be handled by Freeman.
Freeman Online
Freeman’s exhibitor services website contains complete information on upgraded carpet and furniture rental options, shipping, installation/labor, security, and booth accessories such as audio-visual components and computer equipment, display racks, floral arrangements, Internet and phone service, and electricity.
Any exhibitor services beyond the items specified in the furniture package listed in the MTP Sponsorship Letter of Agreement are at the exhibitors own expense. Please note each vendor's deadlines as they may vary.
Complimentary Furniture Package
Unless upgraded furniture and carpet rental options are purchased by the Marketing and Technology Pavilion (MTP) exhibitor through Freeman Online, Freeman will deliver the following complimentary furniture package to each MTP: black carpet, two chairs, one 4' table, one wastebasket, and pole ID sign.

Other Service Order Forms
Order forms pertain to several different service providers. Review the deadlines listed on each form as they may vary.

Internet Connection
SmartCity is the exclusive supplier of Internet connectivity for all events within the Henry B. González Convention Center, and can provide Internet and networking connectivity to any area of the facility.
A complimentary basic Wi-Fi is available in all public spaces and meeting rooms, and can be used for non-mission-critical applications such as general web surfing and Internet-based email access.
Access to the Wi-Fi network may be limited in the exhibit hall and cannot be guaranteed as access is based on the volume of users.
Food and Beverage Distribution on the Show Floor
The RK Culinary Group is the exclusive food and beverage provider for the Henry B. González Convention Center, and will provide all of your food, beverage, and staff services.
Note: The cooking, preparation or sale of food and beverage in the Brand USA Marketplace Hall is prohibited except through designated sponsors of the lounge areas. (Examples of prohibited items include but are not limited to: popcorn makers, food warmers, hot plates, etc.)
Security is required when alcohol is being served and any cost associated with this is at the expense of the exhibiting company. Please reach out to [email protected] for security questions. The RK Culinary Group will notify the San Antonio Police Department Off Duty Employment Unit once an exhibitor orders alcohol.
Hosting Events on the Show Floor
Exhibitors may host an event in their booth or dedicated destination aisle during select times Monday-Wednesday. You must follow the guidelines below and submit your event for pre-approval.
